Retreat and Conference Reservation Options

At Ridgecrest, we offer two main attendee reservation options for retreats and conferences.  As part of the event contract, Event Planners will choose to send in a rooming list or plan for their guests to call our Reservations department individually.  What’s the difference, and what would work best for your event?  

Rooming List – Most churches and ministries choose to send in a rooming list.  Ridgecrest provides a rooming list template for each Event Planner to complete that asks for attendee names, arrival/departure date, room type (if booked for multiple room types), and ages of children/youth.  Rooming lists work well for smaller and larger events and for adult, youth, and family retreats or conferences.  Often, Event Planners will choose a rooming list if all of the attendees are from the same church or ministry.  Even if the attendees are from multiple churches, the planner may still choose to send in a rooming list as they may need to be in direct contact with the church leaders anyway about event payment or conference registration details.

Individual Call-in – Rather than sending in a rooming list, large ministry events sometimes choose to have attendees call Ridgecrest individually to reserve a room within their conference block. In most cases, attendees are from different churches/ministries and are not coming from the same location.  Individual call-ins can work well for adult or family conferences but are not a good fit for youth events.   

For most events, sending in a rooming list will be the best option, but for larger ministries planning an adult/family conference, choosing individual call-ins could streamline the reservation process.  If you still have questions about what would work best for your event, check in with your Ridgecrest Sales Manager.  We are here to help guide you in the right direction!
